EXIDEA Inc. (hereinafter referred to as “our company”) will handle information (as defined below) provided by those who apply for employment with our company (hereinafter referred to as “applicants”) as follows, in accordance with our Personal Information Protection Policy.
1. Definition of Personal InformationPersonal information refers to information about an individual applicant, including name, address, telephone number, email address, and other information that can identify an individual, as well as information that, even if cannot identify an individual on its own, can be easily matched with other information and thereby can identify an individual applicant (collectively referred to below as “personal information”).
2. Acquisition of Personal Information When applying for a job with our company, you will be required to provide personal information necessary for recruitment activities.
3. Purpose of Use of Personal Information We will use personal information only for the purposes of our recruitment activities and employment procedures, such as providing information to applicants in our recruitment activities, application acceptance procedures for our job openings, contacting applicants regarding the selection process, acceptance/rejection, and other matters, and employment procedures.
4. Disclosure of Personal Information to Third Parties We will not disclose Personal Information to any third parties except in the following cases:
(1) When the applicant has given their consent
(2) When disclosure is made in a manner that does not allow the identification of individual applicants
(3) When disclosing to a personal information management contractor with whom we have concluded a confidentiality agreement, for the limited purpose of use.
(4) When disclosure is required by law, etc.
5. Outsourcing of personal information management operations In the course of our business operations, we may outsource the handling of personal information to outsourcing companies. In such cases, we will carefully select outsourcing companies on the condition that they have established and implemented a management system that can properly protect personal information, and will determine in contracts and other means the matters necessary to prevent the leakage of personal information through proper management and confidentiality of personal information, and will ensure that appropriate management is implemented.
6. Disclosure, correction, addition or deletion of information If we receive a request from an applicant to disclose, correct, add or delete personal information (excluding employment evaluation information, etc.), notify the purpose of use, or refuse to use or provide the information, we will respond promptly in accordance with our procedures.
7. Safety Control Measures We will strive to continually take the necessary technical and organizational safety measures against risks such as unauthorized access to personal information or the loss, destruction, falsification, or leakage of personal information.
8. Disposal of application documents Personal information that has been entrusted to us will not be returned, regardless of whether or not you are hired. If you are not hired, we will dispose of your documents responsibly after a certain period of time has passed.
9. Voluntary Provision of Personal Information Applicants may provide their personal information to us voluntarily, based on their consent. However, please be aware that if the information necessary for our recruitment selection process is not provided, we may assume that you have declined the recruitment process.
